How to set up and use the Provider Directory

9 min read

The Nomadic Care Provider Directory allows your clinic or organisation to display its healthcare providers online, offer bookable services and accept applications from new providers through Work With Us.

This guide explains the main setup steps for clinic administrators and providers.

What is the Provider Directory? #

The Provider Directory is a clinic-branded list of healthcare providers.

Patients can:

  • search for providers;
  • view their speciality and profile;
  • select Connect to connect with a provider; and
  • book eligible services.

The directory can also be embedded into your clinic’s website.

Before you begin #

You must already have a Nomadic Care clinic account and be able to log in to the provider portal.

Log in here:

https://app.nomadiccare.com.au/login

If you can already log in and see your clinic dashboard, you do not need to create another account.

Do not create a second clinic account if your organisation is already registered.

Important: A provider will not appear in the public Provider Directory until the clinic and provider setup requirements described below have been completed.

How do I set up the Provider Directory? #

A clinic administrator can open Manage Provider Directory from the clinic portal.

This is the main administration area for:

  • Services and fees.
  • Clinic payout details.
  • Provider applications.
  • Provider management.
  • Provider Directory inclusion.
  • Directory settings.

  2. Ensure you are logged in as Clinic Administrator. You will see this if you’re account is listed under “Clinic Administrator” in the Clinic Team Members section of the page

How do I set up service types and fees? #

Select Edit Service Types and Fees:

For each service, enter:

  • a short service name or description;
  • the appointment duration;
  • the appointment price; and
  • whether the service is active.

Only active services are available for appointment booking. A clinic can have up to 10 active service types at one time.

Services can also be free by setting the price to $0.

Notes:

  • To enter new services, enter description, duration and charge at the top, then click “Add”
  • To activate teh service, ensure the “Activate” toggle box is turned on

Example service names could include:

  • Initial Nursing Consultation.
  • Telehealth Nurse Consultation.
  • In-home Nursing Assessment.
  • Care Plan Review.
  • Follow-up Consultation.

How do clinic payouts work? #

Your clinic must set up a Stripe payout account before the Provider Directory can be enabled.

Under Payout Details – Clinic, select Set Up Payout Account and follow the Stripe instructions.

Stripe may ask for:

  • business or organisation details;
  • authorised representative details;
  • identity verification; and
  • the bank account where clinic funds will be paid.

Nomadic Care does not store the bank details or identity documents entered directly into Stripe.

When your clinic “Update Payout Account”, it will open the Stripe payment portal where you can set your bank accoutn details (BSB and Account number) to receive payments for booked appointments, and other services.

What do the payout statuses mean? #

Not set up
Stripe payout setup has not started.

Pending verification
Stripe is reviewing the submitted information.

Ready
The payout account is ready to receive eligible funds.

Action required
Stripe needs additional information. Select Update Payout Account and follow the instructions.

What is the difference between clinic and provider payouts? #

The clinic and each provider have separate payout accounts.

Clinic payout account #

Used for the clinic’s part of eligible Provider Directory booking revenue. The clinic account must be ready before the directory can be enabled.

Provider payout account #

Used to pay the individual provider’s share of eligible appointment revenue.

A person who is both a clinic administrator and a provider may therefore need to complete two separate Stripe payout setups.

Otherwise, for team members (regular provider), they only need to setup their own personal PayOut accounts.

To setup your provider PayOut account, you must do the following:

  1. Log out of Nomadic Care if you are logged in as Clinic Administrator (see the logout button on bottom of left menu bar)
  2. Login as regular team member
  3. Click the settings gear icon on the right menu
  4. Click “Edit Settings” in the pull out menu
  5. Then click “Update” button the Payout Details section

The screenshot below shows how PayOut settings is accessed. The same Stripe portal is opened when you click the “Update” button.

What is the revenue split? #

The Revenue Split area shows how revenue from a paid appointment is divided between:

  • the provider;
  • the clinic or organisation; and
  • the Nomadic Care booking fee.
Revenue split is under the main pane on top left of the Manage Provider Directory settings screen.

Review the percentages displayed for your clinic before offering paid services.

This is separate from the monthly Provider Directory inclusion fee charged to a provider.

A clinic can set a monthly fee for providers who are included in its public directory.

What is the Provider Directory inclusion fee? #

This fee may be $0.

The inclusion fee is different from appointment payouts:

  • Inclusion fee: the provider pays the clinic or platform for directory participation.
  • Appointment payout: the provider receives their share of appointment revenue.

Providers may still be asked to securely add card details when the current inclusion fee is $0, so their payment setup is ready if the fee changes later.

How do I enable the Provider Directory? #

Once the clinic payout account is ready, turn on Enable Provider Directory.

If the switch remains unavailable, check that:

  • the clinic payout status is Ready;
  • the clinic has an eligible subscription;
  • the Provider Directory has been enabled for the clinic; and
  • the page is showing the latest Stripe status.

The screenshot below shows the revenue split (1), provider inclusion fee (2), and Enable Provider Directory toggle (3):

How is the directory added to a clinic website? #

Nomadic Care provides an iframe embed code containing the clinic’s secure directory link and token.

Copy the complete embed code into the required page of the clinic’s website.

Do not remove or manually change the clinic ID or token.

Please contact Nomadic Care Support to get help enabling the provider directory for your clinic, and to receive the provider directory URL: nomadiccare.com.au/contact-us

Work With Us #

What is Work With Us? #

Work With Us allows a healthcare provider to apply to join the clinic’s provider network.

It is not intended for patients looking for care. Patients should select Connect beside a provider instead.

Submitting an application does not automatically create an active provider account. The clinic must review and accept it.

The provider first sees a confirmation explaining that Work With Us is for healthcare providers registering interest in joining the clinic.

Selecting Work With Us again opens the application form.

The Work With Us button is also visible when opened on a mobile phone, on the bottom of teh screen:

What information is required in the application? #

Applicants are asked to provide:

  • legal name;
  • preferred name, if different;
  • email address and mobile number;
  • speciality or field of medicine;
  • address;
  • AHPRA number;
  • at least one supporting document; and
  • applicable professional or screening-check details.

Supporting documents may include a résumé, identity document or relevant professional evidence.

Applicants can review their details before submitting.

What happens after an application is submitted? #

The application appears under Work With Us Applicants for the clinic.

A clinic administrator can:

  1. open the application;
  2. review the applicant’s details and documents;
  3. contact the applicant when more information is needed; and
  4. accept the application.

Once accepted, Nomadic Care sends the applicant a secure provider-registration link.

First, go to Manage Provider Directory screen, and select “Work With Us Apllicants” button.

You will also see some numbers on the right showing:

  • How many applications were received (also indicated by the small red circle next to the Work With Us Applicants button)
  • Total application accepted
  • Total providers who have registered (“activated”)
  • Total providers who are suspended

Then you will see a list of applicants. Clicking Manage in the Manage Work With Us Applications list opens the Work With Us application submitted by the applicant.

,

The application can be reviewed, and then you can either:

  • Accept Application by clicking the button at the bottom
  • Or, if you want to contact the applicant directly, click “Contact Applicant” which will open yoru default browser with teh applicant’s email pre-populated along with a standard message, whcih you can change as needed. This feature is intended to allo clinic admins to contact applicants who are unsuccessful and will not be added to the provider directory

Provider registration and profile #

How does an accepted provider complete registration? #

The registration link guides the provider through the main setup steps:

  1. Create their Nomadic Care account and password.
  2. Add a profile photograph and provider details.
  3. Set their appointment availability.
  4. Add payment details for any monthly directory inclusion fee.
  5. Set up their appointment payout account through Stripe.

The provider can complete registration without immediately finishing payout setup, but appointment payouts may be delayed until the payout account is ready.

The following additional steps are required to be completed for Work With Us applicants.

Provider Payment – Enter credit card payment details, if a Provider Directory Inclusion Fee has been defined. This is a monthly payment that a provider must pay in order to be part of the clinic provider directory. If an inclusion fee hasn’t been defined, Nomadic Care may still require this step to be completed in case a fee is introduced at a later stage. There will be no charge if the inclusion fee is $0.

Provider PayOut Setup – The PayOut details for receiving money for booked appointments and other services the provider offers to patients. It is separate from the previous step, and requires bank details to be entered, along with ID documents, name and mobile numbers. The information is collected by Stripe and managed there, not by Nomadic Care.

What is the provider Profile Description? #

The Profile Description is the provider’s public introduction to patients.

It is separate from the résumé and credentials submitted during Work With Us.

Providers should include a brief description of their:

  • professional background;
  • areas of practice;
  • experience;
  • patient groups supported;
  • approach to care; and
  • appointment options.

The current Profile Description supports up to 500 characters.

Do not include private contact information, residential addresses, confidential patient information or unsupported claims.

When patients find the provider on the provider directory, they will see in the list fo providers which they can search across, and read in detail before initiating a connection and appointment booking.

Why is my provider profile not appearing? #

Check that:

  • the application was accepted;›
  • registration was completed;
  • the provider is Active;
  • the clinic’s Provider Directory is enabled;
  • the provider is marked as publicly visible;
  • required profile information has been completed; and
  • the provider has not been suspended.

A clinic administrator can review the provider under Manage Providers.

Appointment payments #

How are paid appointments processed? #

When a paid service is selected:

  1. The appointment records the selected service and fee.
  2. Nomadic Care creates a secure Stripe payment link.
  3. The link is shared with the patient.
  4. The patient completes payment through Stripe.
  5. The payment and payout status appear in Nomadic Care.

A free service does not require a payment link.

If the provider has not completed their payout setup, their payment may remain awaiting provider onboarding until the account is ready.

The PayOut transactions are listed in a pane in the Manage Provider Directory screen. All payments from appointment bookings will be listed here, and can also be downloaded as a CSV file for processing in your acocunting or reporting software.
