The Nomadic Care Provider Directory allows your clinic or organisation to display its healthcare providers online, offer bookable services and accept applications from new providers through Work With Us.
This guide explains the main setup steps for clinic administrators and providers.
If you can already log in and see your clinic dashboard, you do not need to create another account.
Do not create a second clinic account if your organisation is already registered.
Important: A provider will not appear in the public Provider Directory until the clinic and provider setup requirements described below have been completed.
A clinic administrator can open Manage Provider Directory from the clinic portal.
This is the main administration area for:
Services and fees.
Clinic payout details.
Provider applications.
Provider management.
Provider Directory inclusion.
Directory settings.
Payout transactions.
To open Manage Provider Directory settings page:
Login to Nomadic Care, and Click “Clinic” on left menu bar
Ensure you are logged in as Clinic Administrator. You will see this if you’re account is listed under “Clinic Administrator” in the Clinic Team Members section of the page
The Manage Provider Directory button is visible – you can now click it
Now complete these main steps:
Set up your service types and fees.
Set up the clinic payout account.
Review provider management and the Provider Directory inclusion fee.
Your clinic must set up a Stripe payout account before the Provider Directory can be enabled.
Under Payout Details – Clinic, select Set Up Payout Account and follow the Stripe instructions.
Stripe may ask for:
business or organisation details;
authorised representative details;
identity verification; and
the bank account where clinic funds will be paid.
Nomadic Care does not store the bank details or identity documents entered directly into Stripe.
When your clinic “Update Payout Account”, it will open the Stripe payment portal where you can set your bank accoutn details (BSB and Account number) to receive payments for booked appointments, and other services.
The inclusion fee is different from appointment payouts:
Inclusion fee: the provider pays the clinic or platform for directory participation.
Appointment payout: the provider receives their share of appointment revenue.
Providers may still be asked to securely add card details when the current inclusion fee is $0, so their payment setup is ready if the fee changes later.
Nomadic Care provides an iframe embed code containing the clinic’s secure directory link and token.
Copy the complete embed code into the required page of the clinic’s website.
Do not remove or manually change the clinic ID or token.

The following is an example URL of a provider directory URL:
The application appears under Work With Us Applicants for the clinic.
A clinic administrator can:
open the application;
review the applicant’s details and documents;
contact the applicant when more information is needed; and
accept the application.
Once accepted, Nomadic Care sends the applicant a secure provider-registration link.
First, go to Manage Provider Directory screen, and select “Work With Us Apllicants” button.
You will also see some numbers on the right showing:
How many applications were received (also indicated by the small red circle next to the Work With Us Applicants button)
Total application accepted
Total providers who have registered (“activated”)
Total providers who are suspended
Then you will see a list of applicants. Clicking Manage in the Manage Work With Us Applications list opens the Work With Us application submitted by the applicant.

The application can be reviewed, and then you can either:
Accept Application by clicking the button at the bottom
Or, if you want to contact the applicant directly, click “Contact Applicant” which will open yoru default browser with teh applicant’s email pre-populated along with a standard message, whcih you can change as needed. This feature is intended to allo clinic admins to contact applicants who are unsuccessful and will not be added to the provider directory
How does an accepted provider complete registration? #
The registration link guides the provider through the main setup steps:
Create their Nomadic Care account and password.
Add a profile photograph and provider details.
Set their appointment availability.
Add payment details for any monthly directory inclusion fee.
Set up their appointment payout account through Stripe.
The provider can complete registration without immediately finishing payout setup, but appointment payouts may be delayed until the payout account is ready.
The following additional steps are required to be completed for Work With Us applicants.
Provider Payment – Enter credit card payment details, if a Provider Directory Inclusion Fee has been defined. This is a monthly payment that a provider must pay in order to be part of the clinic provider directory. If an inclusion fee hasn’t been defined, Nomadic Care may still require this step to be completed in case a fee is introduced at a later stage. There will be no charge if the inclusion fee is $0.
Provider PayOut Setup – The PayOut details for receiving money for booked appointments and other services the provider offers to patients. It is separate from the previous step, and requires bank details to be entered, along with ID documents, name and mobile numbers. The information is collected by Stripe and managed there, not by Nomadic Care.
The Profile Description is the provider’s public introduction to patients.
It is separate from the résumé and credentials submitted during Work With Us.
Providers should include a brief description of their:
professional background;
areas of practice;
experience;
patient groups supported;
approach to care; and
appointment options.
The current Profile Description supports up to 500 characters.
Do not include private contact information, residential addresses, confidential patient information or unsupported claims.
When patients find the provider on the provider directory, they will see in the list fo providers which they can search across, and read in detail before initiating a connection and appointment booking.
The appointment records the selected service and fee.
Nomadic Care creates a secure Stripe payment link.
The link is shared with the patient.
The patient completes payment through Stripe.
The payment and payout status appear in Nomadic Care.
A free service does not require a payment link.
If the provider has not completed their payout setup, their payment may remain awaiting provider onboarding until the account is ready.
The PayOut transactions are listed in a pane in the Manage Provider Directory screen. All payments from appointment bookings will be listed here, and can also be downloaded as a CSV file for processing in your acocunting or reporting software.
